|Description:||This class is responsible for coordinating the administrative support activities of a department or a division and providing related paraprofessional support.|
|Duties:||May supervise intern(s) to include: prioritizing and assigning work; conducting performance evaluations; ensuring staff are trained; ensuring that intern(s) follows policies and procedures and maintains a healthy and safe working environment; and, making hiring, termination, and disciplinary recommendations.|
Serves as a lead to intern(s) to include assigning and monitoring work and providing direction.
Provides administrative support, such as maintaining schedules, coordinating meetings, preparing agendas and packets, making travel arrangements, editing and preparing reports. Prepares letters, memos and resolutions on various matters.
Sets up, processes, and maintains a variety of operating files and informs department staff on the status of incidents, the progress of circumstances, and other information.
Performs basic office duties, such as copying, filing, faxing, typing standard documents, preparing, sorting, and distributing mail and entering data.
Assists with coordinating department activities, such as tracking work, accounts payable or
receivable, processing files or applications, relaying communications, providing customer service, researching information and providing related support.
Assists in preparing various reports detailing department operations, statistics, and other
department or division information by collecting data. Assures that deadlines established by funders for reports or other information are met. Follows up on information requested by funders and assures that others who are handling requests for data and information are following up in a timely manner.
Takes minutes at various meetings, assures that minutes are reviewed as needed, distributed to groups, and follows up on agenda.
Supports specialty court meetings and direct contact with participants in specialty courts as identified, including data entry into the specialty courts case management information system, assuring that files are up to date and available to the specialty court team, and meeting with court participants to provide orientation and information. Work with court staff to assure that any official court documents are appropriately entered into files.
May perform other duties as required.
1. High School Diploma, or G.E.D., and
2. Two years of administrative support experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
